QR codes for event materials

An event's printed material is finalised weeks early and its schedule changes the morning it starts. Those two facts are why event codes should be dynamic.

The programme is out of date before the doors open

Rooms swap, speakers cancel, timings slip. The printed programme, the lanyard insert and the foyer poster are all locked long before any of that happens.

A dynamic code on each of those points at a live schedule page you update from your phone. The print stays wrong and the code stays right.

Codes worth printing at an event

  • Badge or lanyard: the live schedule, or the attendee's own session list.
  • Session signage: feedback form for that specific talk, so responses arrive labelled.
  • Foyer poster: the venue map and the wifi details.
  • Sponsor boards: each sponsor's own landing page, with a scan count you can hand back to them afterwards.

What happens the day after

Event codes have a long afterlife. Badges end up in drawers, posters end up on office walls, and programmes get photographed and shared for months.

Plan the post-event destination deliberately: point the schedule code at the recordings, and the sponsor codes at a wrap-up page. And because an event account is often cancelled the week after the event, set the fallback to somewhere that still makes sense a year later — your organisation's homepage, usually.

Frequently asked questions

Can I change the destination during the event?
Yes, with a dynamic code. Sign in, edit the destination, and the next scan resolves to the new page. There is no delay and nothing to reprint.
Can I give sponsors their scan numbers?
Yes. Each dynamic code has its own scan count and a chart over time, so you can report per-sponsor figures without any extra tooling.
What size should a code be on a conference badge?
2cm square is comfortable on a standard badge. Keep it clear of the plastic holder's seam and leave a white margin around it.
What happens to the codes if I cancel after the event?
They redirect to the fallback URL you chose when you created them, not to an error or an advert. That is the difference the fallback is for.
